Mange Sample Requests

All Requests for Samples submitted by customers on your Store can be found in the Sample Requests' grid within your Account Manager. 

In this article, you'll learn how to manage Sample Requests.

Note: This feature is available to all Suppliers on Marketplace or the Customer Experience Platform.

Respond to Sample Requests

To respond to Sample Requests after a prospect has placed one:

  1. Navigate to Sample Requests under Requests in the left hand sidebar
  2. Select the Sample Request you would to like to respond to in the grid

You can either Mark as Qualified or Decline.

To Mark as Qualified*:

  1. Click Mark as Qualified to mark a request as qualified
  2. Click Approve Request to approve the request
  3. Once shipped, click Enter Tracking ID and add an optional note, if needed
  4. Click Mark as Shipped once the sample has shipped 
  5. Once delivered, click Mark as Delivered  

To Decline*:

  1. Click Decline in the top right next to More
  2. Add a note to let the requester know why you are declining the request
  3. Click Decline to confirm

* The requester will be notified based on either response.

 

Response Time Best Practices

To ensure that your prospect remains interested in their sample requests, we suggest the below best practices: 

  • Update the status of the Sample Request within 48 hours of receiving it 
  • Ideally, Sample Requests should be shipped within 7 days
  • Sample Request statuses should be marked as Completed within 7 days once delivered 
  • If there is a delay in shipping or a cancellation, you should notify the customer 

 

Archive Sample Requests

You can archive requests from the Sample Request detailed view or the quick actions menu from the grid.

To archive a Sample Request from the detailed view:

  1. Navigate to Sample Requests under Requests in the left hand sidebar
  2. Select the Sample Request you want to archive 
  3. Click More next to Decline and mark it as Archived in the dropdown
  4. Click Archive in the Archive Request confirmation popup

Alternatively, you can archive a Sample Request from the quick actions menu:

  1. Navigate to Sample Requests under Requests in the left hand sidebar
  2. On the left of the sample row you want to archive, click the dropdown icon next to Review and change the status to Archived in the dropdown
  3. Click Archive in the Archive Request confirmation popup

Note: To view archived requests click the '...' on the top next to Delivered and select Archived. To unarchive a request,
change the status from the quick actions menu in the grid.
